Using AI agents safely in Zaptiz: drafts, approvals, credits and what each product offers
How AI agents work in Zaptiz Electrical and Zaptiz Construction: drafts you confirm, role-limited answers, AI credits, auto-send settings and the agents available.
Zaptiz uses AI inside everyday workflows: reading drawings and supplier documents, drafting BOMs, BOQs, purchase orders, goods receipts and bills, and answering questions about your own data. This guide explains the rules every agent follows, how AI credits work, and what is available in Zaptiz Electrical and Zaptiz Construction, so you can switch agents on with confidence.
The ground rules
1. Agents draft, people confirm
Agents prepare quotations, purchase orders, goods receipts and bills as drafts. A person reviews and confirms before anything is created, sent or posted. Treat every draft as work prepared by a capable new colleague: usually right, always worth checking.
2. The AI sees only what you can see
The assistant answers as the signed-in user, inside your company, limited by your role. In Zaptiz Construction it is also limited by project access, and financial figures stay hidden from people who are not allowed to see them.
3. Numbers come from your records
Figures come from the ERP itself; the AI writes the explanation. Construction briefings drop any sentence that quotes a number they were not given.
4. Auto-send is off by default
Where an agent can send messages on its own, such as payment reminders, automatic sending is off by default and must be switched on by an admin.
5. Usage is metered and logged
AI usage is metered in credits, with per-user rate limits, and every call is logged. Cost stays predictable and you can see where credits go.

The Construction assistant can currently draft material requests, purchase orders from material requests and change-order headers. Otherwise it answers questions from your data.
What the GST agents do not do
Both GST agents prepare figures, run checks and keep a filing calendar. They never file returns on your behalf, and Zaptiz does not generate e-invoices (IRN) or e-way bills today. Filing remains with you or your CA.
A safe rollout plan
- Start with report agents, such as the daily briefing and GST checks. They build trust in the data without changing records.
- Clean your masters: products, vendors, price lists, BOQ items. Agents working on messy data draft messy records.
- Switch on one drafting agent where preparation takes the most time, often procurement or document reading.
- Review every draft for the first few weeks. Note where corrections are needed.
- Assign confirmations by role. Purchase managers confirm POs, stores confirm GRNs, QS confirms RA bills.
- Consider auto-send last, and only for low-risk messages such as reminders.
- Watch credit usage and set expectations with heavy users.
